Job Function:
 
The Manager, Sample Accountability manages and reconciles client sample accountability programs for Prescription Drug Marketing Act (PDMA) compliance and client’s business rules and deadlines. This individual provides PDMA recommendations and guidance for the creation of new or updated methods, processes, forms, and programs for existing and new clients. A great degree of creativity and latitude is required. This individual should be committed to providing our clients with the highest level of service. This individual needs to possess managerial and supervisory skills. This position includes high level contacts and exposure to sensitive information necessitating diplomacy, discretion and judgment.
 
Duties and Responsibilities:
 
·            Monitors team’s productivity & workflow for improvement processes to improve efficiency and evaluates staffing requirements.
·            Develops and implements Sample Accountability programs for new clients based on their business needs.
·            Administers Sample Accountability programs for existing clients and works to improve current program offerings.
·            Develops new sample related forms for clients in conjunction with the Software Engineering department.
·            Creates Software Change Requests (SCRs) based on client’s requests and provides project estimates to clients.
·            Creates and updates client sample accountability training materials for field personnel and develops client Standard Operating Procedures (cSOPs).
·            Coordinates with Software Engineering department to maximize system capabilities.
·            Troubleshoots PharmaComply Website issues and work with Sample Accountability Technical Support team to resolve any issues that arise.
·            Investigates and reports to Client and Food and PSSG Compliance Office any compliance issues according to FDA and/or Drug Enforcement Administration (DEA) schedule.
·            Ensures compliance with PDMA regulations for internal Pharmagistics staff as well as field personnel.
·            Presents training to clients as required and provides training to internal staff on PDMA and SOPs.
·            Participates in client audits as necessary.
·            Assists Sample Accountability Compliance Analysts with field reconciliations when necessary.
·            Provides monthly billing information to the Finance department.
·            Reviews and approves client invoicing each month.
·            Participates in off-site meetings as required.
 
Qualifications:
 
  • Bachelor’s degree required.
  • Five or more years of experience in a business related environment required. Pharmaceutical FDA/DEA regulated environment is a plus.
  • Experience dealing with FDA/PDMA regulations and OIG guidelines.
  • Experience using Microsoft Office with proficiency in Word, Excel and Outlook.
  • Three or more years experience with Sample Accountability procedures and programs preferred.
  • Experience in a supervisory/management position is a plus.
  • Advanced verbal and written communication skills.
  • Advanced math aptitude and problem solving skills.
  • Must have excellent leadership, organizational and communication skills.
  • Experience with developing and implementing Standard Operating Procedures.
  • Ability to make quick and accurate decisions regarding client needs.

Physical Demands:
 
While performing the duties of this job, the employee is regularly required to use hands to type on the keyboard as well as talk and hear. The employee is required to sit for extended periods of time. Specific vision abilities required by this job include close vision, distance vision, color, vision, peripheral vision, depth perception, and ability to adjust focus.
